CallRail vs GoHighLevel: Which One Do You Need?

Short answer

CallRail and GoHighLevel do different jobs.

CallRail

answers: “Which ad, keyword or source made the phone ring?”

GoHighLevel

answers: “Where is this lead now, and who follows up next?”

At Pink Shark we use both on client accounts. CallRail tracks the call. GoHighLevel holds the lead and runs the follow-up.

What Each Tool Does

CallRail: call tracking and attribution

  • CallRail adds a small script to your website. The script swaps your phone number for a tracking number, based on where the visitor came from. This is called dynamic number insertion.
  • A website pool gives each visitor their own tracking number. CallRail says a pool needs at least 4 numbers. You need a pool if you want calls by keyword, or call conversions sent to Google Ads.
  • A source tracking number is one number for one source, like a billboard or a Google Business Profile.
  • Calls can be recorded, and CallRail can send call data to other tools with webhooks.

GoHighLevel: CRM, follow-up and funnels

  • GoHighLevel holds your contacts and puts each lead in a pipeline.
  • It runs forms, calendars, funnels and automatic follow-up by text and email.
  • At Pink Shark we use it for forms, calendars, funnels, pipelines and follow-up on client accounts.
  • GoHighLevel also has its own call tracking. It is called a number pool. It swaps the phone number on your site based on visitor activity, and HighLevel says a pool needs at least 4 numbers (HighLevel Help, “How to Set Up Call Tracking (Number Pool)”, checked 10/21/2026).

Which One Do You Need?

You need CallRail if:

  • You get leads by phone from ads or SEO.
  • You can't say which ad or keyword brought in your last 10 calls.
  • You want to send call conversions to Google Ads.

You need GoHighLevel if:

  • Leads sit in an email inbox, a spreadsheet or someone's phone.
  • New leads wait hours for a call back.
  • You want forms, booking and follow-up in one place.

You need both if:

  • You run ads, get many calls, AND need fast follow-up. CallRail tells you which ad worked. GoHighLevel makes sure every lead gets a call back.

You may need neither yet if:

  • You don't run ads and get very few leads. Fix your offer and your landing page first.

Honest Pros and Cons

CallRail

Pros

  • Built for call attribution.
  • Keyword-level data with a website pool.
  • Can send call conversions to Google Ads.

Cons

  • It is one more tool and one more bill.
  • A website pool needs at least 4 numbers.
  • Setup must be right, or a source number can take over from the pool (CallRail's own swap rules).

GoHighLevel

Pros

  • CRM, forms, calendars, funnels and follow-up in one place.

Cons

  • It does a lot, so setup takes time.
  • A poor setup gives poor results.
  • Not built mainly for call attribution.

Can CallRail and GoHighLevel Work Together?

Yes. CallRail can send call data out with webhooks, and GoHighLevel can receive it with an Inbound Webhook workflow trigger. Then a call in CallRail can create or update a contact in GHL and start your follow-up.

CallRail vs GoHighLevel FAQ

Is CallRail a CRM?

No. CallRail tracks calls, texts and forms and shows where they came from. You still need a place to manage leads and follow-up, like GoHighLevel.

Does GoHighLevel have call tracking?

Yes. GoHighLevel has number pools. A number pool swaps the phone number on your site based on where the visitor came from. HighLevel's help center says a pool needs at least 4 numbers.

Can GoHighLevel replace CallRail?

For some businesses, maybe. GoHighLevel has number pools, but its main job is the CRM and follow-up. If you need detailed calls by keyword or call conversions in Google Ads, CallRail is built for that.

Do I need both?

If you run ads, get many phone leads and need fast follow-up, often yes. If you get few calls, start with the CRM.

Can you set this up for me?

Yes. Pink Shark sets up call tracking and CRM for clients. Send us a message on the Pink Shark contact page.
