How to Connect CallRail to GoHighLevel

CallRail tells you which ad made the phone ring. GoHighLevel makes sure someone follows up. When the 2 tools are not connected, the source stays in CallRail and the lead never reaches the CRM.

This guide shows how to send each CallRail call into GoHighLevel as a contact, with its source, so your follow-up can start right away.

What You Need Before You Start

  • A CallRail account with tracking numbers live. Try CallRail
  • A GoHighLevel account or sub-account. Try GoHighLevel
  • Workflow premium features turned on in GoHighLevel (Inbound Webhook is a premium trigger).
  • A pipeline and a tag for phone leads, for example the tag callrail-call.
Cost note

HighLevel’s help center says each eligible sub-account gets 100 free lifetime premium executions, then $0.01 per execution unless it has a Workflow Pro plan (checked 10/21/2026). Each call that runs the workflow counts. Check HighLevel’s current terms before you start.

Step by Step

1

Create the workflow in GoHighLevel.

Open Automation, create a new workflow, and pick “Inbound Webhook” as the trigger. GoHighLevel gives you a unique webhook URL. Copy it.

2

Add the webhook in CallRail.

In CallRail, open the webhook settings for the company, and paste the GHL URL into the event you want to send. Start with one event: when a call is completed. That event has the full call details, like the duration and whether the call was answered.

3

Send a test call.

Call one of your tracking numbers. In GoHighLevel, click “Test Trigger” and pick the test data that arrived.

4

Map the fields.

After you save the trigger, GoHighLevel opens the “Create Update Contact” action. Map the caller's phone number to the contact phone. GoHighLevel needs an email or a phone number to create or match a contact. Then map the other fields you want into custom fields. A good starting list:

  • Caller phone number (to the contact phone)
  • Caller name, if CallRail has it
  • Source (for example Google Ads or Google organic)
  • Campaign
  • Keyword (only with a website pool)
  • Landing page
  • Whether the call was answered
  • Recording link
5

Add tag and pipeline actions.

  • Add tag: callrail-call.
  • Create or update an opportunity in your pipeline.
  • Optional: if the call was missed, send a text back and alert the owner. Use an If/Else step on the “answered” field. Follow the consent rules for texts where you do business.
6

Test again, then turn it on.

Make 1 answered call and 1 missed call to a tracking number. Check that both show in GoHighLevel with the right tag and source. Then publish the workflow.

Other Ways to Connect CallRail and GHL

  • A third-party automation tool, like Zapier or Make. Check that the tool lists both CallRail and HighLevel before you start. It adds another tool and another bill.
  • CallRail's API. For developers. CallRail's help center says the API can do more than webhooks, but it needs more work.

What to Watch

Duplicates

The phone number is the match key. If a lead first filled a form with a different number, you can get 2 contacts.

Premium charges

Inbound Webhook is a premium trigger in GHL. Busy phone lines mean more executions.

Source data depends on your CallRail setup

Keyword data needs a website pool (CallRail Help). If you only use source numbers, you get the source, not the keyword.

Test after every change

If you change the CallRail event or the GHL fields, send a test call again.

CallRail and GoHighLevel FAQ

Does CallRail integrate with GoHighLevel?

The CallRail help pages we checked do not list a native GoHighLevel integration. You can connect them with CallRail webhooks and a GoHighLevel Inbound Webhook workflow, or with Zapier or Make.

Does it cost extra?

The Inbound Webhook trigger is a premium workflow feature in GoHighLevel. HighLevel lists 100 free lifetime executions per eligible sub-account, then a small charge per execution (checked 10/21/2026).

Can I send missed calls to GHL for a text back?

Yes. Send the call event to GHL, then add an If/Else step for missed calls and a text action.

Can Pink Shark set this up for me?

Yes. Send us a message on the Pink Shark contact page.
